We are looking for a detail-oriented Part-Time Office Assistant to join our team in Beverly Hills, on a long-term contract basis. This position involves performing a variety of clerical tasks to ensure smooth office operations while supporting departmental needs. If you have a passion for organization and enjoy working in a collaborative environment, this role is an excellent opportunity to build experience and contribute to a dynamic team.
Responsibilities:
- Perform routine office tasks such as copying, filing, organizing, and maintaining supplies to ensure efficient operations.
- Assist with data entry, record digitization, and maintaining or disposing of records in accordance with established protocols.
- Process payments for miscellaneous receivables using payment systems, research customer accounts, and update account information as needed.
- Help manage incoming, outgoing, and returned correspondence to maintain accurate communication flow.
- Support staff by providing guidance on departmental procedures and protocols to promote consistency.
- Build positive relationships with colleagues, city employees, and the public by demonstrating strong customer service skills.
- Contribute to special projects that require flexibility and teamwork to meet organizational goals.
- Operate office equipment, including scanners, printers, and computers, to complete daily tasks efficiently.
- Maintain accurate data entry and document processing while adhering to deadlines and quality standards.
- Perform other duties as assigned to support departmental initiatives.
Requirements
- High school diploma or equivalent is required.
- Previous experience in general office administration is preferred but not mandatory.
- Proficiency in standard office software and equipment, including CRM systems and accounting software.
- Strong organizational skills with the ability to manage repetitive tasks effectively.
- Excellent communication skills to interact professionally with team members and external parties.
- Ability to perform accurate data entry and maintain attention to detail.
- Familiarity with customer service principles and practices.
