POSITION SUMMARY

The Divisional Administration Specialist (DAS) works collaboratively with leadership at all levels to enhance the LakeHouse brand and build strong communities through analyzing, tracking, and driving key business office and community administrative operations. The DAS leads, oversees, and directs the senior living community business office and administrative functions in an orderly and efficient manner, while adding efficiency and strategic vision to the community activities. The goal of the position is to ensure the smooth running of business office functions according to the LakeHouse mission and vision, and according to new and established policies. This position s erves as a member of the organization’s key administrative decision-making and planning body. Moderate travel is required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Collaborates with all management staff to identify and deliver required administrative support for the senior living communities, to include hiring support, HR audits, compliance, training new Executive Directors and Business Office Managers, supporting financial reviews, and collections.
  • Collaborates with Community leaders to implement policies and develop improvements.
  • Manages day-to-day activities with LakeHouse leadership and Discovery Senior Living support team.
  • Acts as a resource for the community Executive Directors and Business Office Managers.
  • Identifies deficiencies and recommends action plans, immediate changes in processes, and training development plans.
  • Drafts and distributes regional and market presentations as required to company stakeholders and when required, to regulatory and government agencies.
  • Maintains the organization’s administrative policies and procedures manual.
  • Ensures the organizations compliance with applicable health, building, regulatory, and safety licensing and certification requirements through tracking audits.
  • Organize and coordinate inter- and intradepartmental operations.
  • Provide guidance to Business Office and evaluate performance.
  • Resolve issues that may arise in a timely manner.
  • Assume responsibility for timely reporting to the TerraBella team.
  • Collaborates with management staff to draft and implement an annual administrative budget.
  • Perform other duties as assigned.

Educational Requirements and Experience:

  • Bachelor’s Degree in Human Resources, Business Administration, or related field required
  • A minimum of five years of leadership experience in Operations, Financial Planning and Human Resources, or equivalent combination of education and experience required
  • Valid driver’s license required

  • Ability to effectively write routine reports and correspondence
  • Ability to communicate clearly before groups of customers and employees
  • Professional and tactful verbal and written interpersonal and communication skills with the ability to interact with a variety of personalities

Computer Skills:

  • Thorough understanding of, or ability to quickly learn, the office equipment, recordkeeping systems, management information systems, and related protocols used in the organization.
  • Extremely proficient with Microsoft Office Suite and/or related software, email, and internet

Cognitive Demands:

  • Proactive thinking to prevent problems and great problem-solving skills
  • Sound judgement skills when making recommendations to management
  • Must be cognitive and able to work under pressure and meet deadlines
